Job Summary
The Administrative Officer is mainly responsible for providing confidential, high-level administrative support to the Chief Executive Officer and the Board of Directors.
Key Duties and Responsibilities
- Researching and preparing draft Board Papers and related documentation as well as
draft presentations for use by the Chief Executive Officer in staff meetings, management meetings and meetings with other stakeholders.
- Researching and preparing reports as necessary
- Preparing draft communications (internal memos, letters, circulars, etc.) for dissemination by the Chief Executive Officer.
- Making arrangements (including the drafting of agendas) for the Chief Executive Officer’s meetings with internal and external stakeholders.
- Preparing draft minutes of meetings and following up with the relevant persons on action items.
- Managing the Chief Executive Officer’s schedule to ensure smooth execution of day to-day engagements.
- Coordinating travel arrangements.
- Maintaining various records and documents pertaining to the office of the Chief Executive Officer.
- Serving as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO.
- Assisting with any special projects.
- Performing any other job-related duties
Requirements
- A Bachelor’s degree in Management Studies, Business Administration, Public Administration or a related discipline.
- A minimum of five years’ experience, two of which must be at a senior level providing administrative support at the corporate level.
Skills and other attributes desired
- Knowledge of Legislation pertaining to the National Insurance and Social Security Service, and of the operations of government.
- Exceptional organizational skills and impeccable attention to detail.
- Excellent time management skills.
- Highly skilled in the use of Microsoft Office Suite.
- Excellent problem-solving skills.
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and regional and international business associates.
- Ability to multi-task and perform well under pressure.
- Excellent oral and written communication skills.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Able to maintain a high level of integrity and discretion in handling confidential information.
